Program Support Specialist

JOB SUMMARY: This position will be primarily responsible for serving as the administrative support in the Human Resources division. This position supports the RISE (Resources for Individual Success and Empowerment) program’s administrative functions and will support HR activities or initiatives related to employee engagement as needed. RISE is Goodwill’s employee resource career coaching and training.

This is not a supervisory role.

Starting Pay: $21.63-$23.07 hourly/ (45-48K) per year 

ESSENTIAL JOB FUNCTIONS: RISE SUPPORT

  • Purchase supplies for program needs, including food for the RISE employee pantry and office supplies for departmental staff. 
  • Approximately once per week, deliver supportive services to employees at various Goodwill locations. These services include distributing food bags, hygiene kits, and/or clothing vouchers. A company-owned vehicle is provided for these deliveries.
  • Coordinate various RISE initiatives and/or logistics, such as supplemental support for the holidays, RISE promotion events, and applicant materials for the Leadership Development Program.
  • Reconcile monthly expenses for program and departmental expenditures.
  • Perform data entry for program reporting and maintain all data to ensure compliance with CARF standards.
  • Review, track, and log case management data such as client intakes and supportive services performed.
  • Send and monitor various text campaigns designed for employee support and engagement.
  • Manage the RISE email inbox by resolving and responding to inquiries in a timely manner.  When necessary, escalate and/or forward inquiries to the appropriate team members for response.
  • Complete administrative tasks in GoodwillU, Goodwill Central Oklahoma’s Learning Management System, such as online course enrollment and monitoring training completion.
  • Collaborate with Payroll to ensure accuracy of RISE-associated payroll deductions, such as transportation passes and safety footwear vouchers.
  • Abide by and ensure compliance with agency policies and procedures set forth by management. Follow safety rules and regulations.

ESSENTIAL JOB FUNCTIONS: HR SUPPORT

  • As assigned, lead, coordinate, and/or initiate projects that improve the efficiency of the department, such as HRIS data management and SOP maintenance.
  • Assist with the planning and execution of special events such as organization-wide meetings, new Administration employee onboarding, employee recognition events, and holiday parties. Tasks include assisting with communication, securing supplies, and ordering food.
  • Maintain the company phone directory.

ADDITIONAL RESPONSIBILITIES:

  • Perform other duties and projects as required by management.

QUALIFICATIONS:

  • Associate’s degree preferred or any combination of education/experience which provides the skills necessary to successfully perform the functions of this position.
  • Previous administrative experience preferred.
  • Advanced proficiency in Microsoft office products. This includes creating and editing documents, collaborating using cloud-based platforms, utilizing online databases, and managing data in spreadsheets and digital storage. Intermediate or advanced proficiency in graphic design tools, such as Canva, and project management software, such as Microsoft Planner or Asana, a plus.
  • Must pass criminal background check and drug screening.
  • Must pass MVR and have valid OK driver’s license.

  • Employee is required to operate a computer.

WORKING CONDITIONS:

  • Works indoors in a climate-controlled environment most of the time.
  • Moderate noise level.
  • Requires some local travel to all company locations.
  • A flexible work schedule is required if scheduling needs are required for a project. 
  • Works 40 hours per week or more when required.
  • Work from home and/or flex scheduling accommodations may be made at the discretion of the supervisor after 90 days introductory period.
